Board Meetings Minutes

President Honour called the meeting to order at 7:50 PM.

 

Approval of Minutes

The minutes of the Annual General Meeting, of March 25, 2003, were previously approved by email.

 

Management Report from Dwellings Unlimited, Inc.

Financial

There are no delinquent accounts at this time.

The financial reports for March balanced.

bullet

The CPA has filed an extension for the Association's tax return.

 

Contracting/Grounds

An annual contract for common area maintenance was signed in March, with Valley Crest. This is a new name for the incumbent landscaper, previously known as STM.

 

Other

A letter was received from Harvey Insurance, regarding a 'swim team'. The Board directed that the letter be disregarded.

A letter was received from NVR Settlement Services requesting an information update. The Board directed that the update is to be given.

Eleanor will modify the 2003 Annual Report, from the SCC, to reflect the new Directors.

A new contract was negotiated with Dwellings Unlimited, Inc. It was verbally agreed to increase the annual payment from $350 to $393, for a term of two years. This new contract will take effect August 1, 2003.

A letter was received from the Homeowners at 12692 Valley Oaks Court, regarding the disposal of fallen limbs. Allen Urban will investigate. Of particular interest is whether the trees are in a common area or on the Homeowner's property. Also, the landscaper may have already cleared up the limbs.

        Treasurer

The Association's finances are in good shape.

The Treasurer will investigate buying another one-year CD.

There was only one new request this past quarter, and it was approved.

There were 27 violation letters sent out in January. These are being monitored.

 

        Other

There was an election of new directors. Effective immediately, the roster is as follows:

            Treasurer Allan Urban

            ACC Colin Klett

            Secretary Bob Morin

The outgoing President, Craig Honour, was noted to have served our community well. The Board wished Craig the Best of Luck down in Florida!

The President received a notice that the Association could receive the latest version of a Fairfax County map for a small fee. The map will be procured.

It was noted that AAA Recycling was coming into the neighborhood around 5:45 AM. It was not clear if this was a good thing or a bad thing. The Vice President will send out an email to ensure that homeowners are aware of the early schedule.

The annual Summer Picnic is on schedule for June 7, with a rain date of June 9. Juanita Wheeler was noted as a prime contact for anyone who wishes to provide help.

The next Board meeting is scheduled for 7:30 PM, July 8, at Steve Wheeler's house.

Old Business

Madison and Inova: Steve Wheeler reported that he is still working with Inova, Madison Homes, and the County to effect a remedy to the oft-clogged metal grate in the dry pond. A larger grate, with larger holes, may be coming in the near future.

Tree Replacement: The Vice President also reported on continuing work in arranging tree replacement. He reiterated the three schemes affecting tree replacement in our association:

1. Developer - The Developer has replace common ground dead trees, with identical trees, until the County releases the bond.
2. NV - NV will replace its dead trees one last time, with Linden Cypress.
3. Inova will replace its trees one last time.
